Onboarding is where most professional relationships start badly. Ours is a defined process with a checklist, so nothing gets missed and you always know where you are.

Onboarding

The six steps

    Free consultation

    We talk through your business, your deadlines and what you need. Nothing to pay, nothing to sign. Around 45 minutes, in person or by phone.

  2. 2

    Written proposal and fixed fee

    You receive a written proposal setting out the exact scope of work, the fixed fee, and what is specifically not included. Usually within two working days.

  3. 3

    Engagement letter

    The formal agreement between us: scope, fees, responsibilities on both sides, and how either of us can end it. You sign before any work begins.

  4. 4

    Identity checks

    Anti-money-laundering regulations require us to verify the identity and address of clients and beneficial owners. Photo ID and a recent utility bill or bank statement.

  5. 5

    Records and authorisations

    You send the information on the checklist. We set up HMRC agent authorisation and, where you are switching, request professional clearance from your previous accountant.

  6. 6

    Work starts

    You get a named contact, your deadline dates in writing, and the date your first piece of work will be ready.

Your checklist

What we will ask you for

We send a tailored version of this, but broadly:

Everyone

  • Photo ID (passport or driving licence)
  • Proof of address dated within three months
  • National Insurance number and UTR if you have one
  • Previous accountant’s contact details
  • Last set of accounts and tax return

Businesses

  • Business bank statements for the period
  • Sales invoices and purchase invoices or receipts
  • Loan, lease and asset finance agreements
  • Payroll records if you employ anyone
  • VAT registration details and scheme
  • Access to your bookkeeping software

Landlords

  • Address and purchase details of each property
  • Rental statements or agent statements
  • Mortgage interest certificates
  • Invoices for repairs and improvements
  • Details of joint ownership

How long it takes

Consultation to proposal: 1–2 working days

Proposal to engagement letter: same day once you confirm

ID checks: usually within 24 hours

Professional clearance: typically 1–3 weeks, driven by your previous accountant

First work delivered: agreed in writing at the proposal stage

Why the ID checks

We are required by the Money Laundering Regulations to verify who our clients are. Every regulated accountancy firm must do this. It is not a judgement on you and the information is held securely under our Privacy Policy.

Your responsibilities

What we need from you

A professional relationship works both ways. So it is clear from the start:

Complete records, on time

We can only work with what we are given. Records supplied close to a deadline limit what we can do and may attract a late-instruction charge, always agreed in advance.

Tell us when things change

A new company, a property purchase, a change in marital status, a big one-off gain. These change your tax position and we would rather hear early.

Approve before we file

Nothing is submitted to HMRC or Companies House without your approval. The return remains legally yours, so please read it.
